Document Management Specialist 

 

The Document Management Specialist maintains the internal JMFA library of key documents, presentation materials, and exhibits for content and compliance using the approved document management tool.  These documents support the activities of marketing, operations, implementation, and client training.  This person also develops and implements document management processes and practices, and conducts training to JMFA staff on those processes and the approved document management tool. The Document Management Specialist works closely with all JMFA departments to ensure documents are correct and up to date using appropriate version control.  This person also works closely with the Implementation Managers to tailor the client training workbook used for onsite client training.  This person may be asked to develop and conduct client training on the approved document management, online collaboration, and CRM tools.  No travel is required.

 

Responsibilities Include

  • Administer the approved document management tool
  • Develop policies and procedures for using the approved document management tool
  • Manage company documents using the approved document management tool
  • Ensure documents are compliant with the latest regulations and regulatory trends
  • Develop and conduct internal training on the approved document management tool, policies and procedures
  • Prepare the client training workbook based on input from the Implementation Manager
  • Develop and conduct internal training on Microsoft CRM and the online collaboration tool (Wrike)
  • Develop and conduct client training on the online collaboration tool (Wrike)

 

Requirements

  • Experience with a document management tool such as Microsoft SharePoint desirable
  • Experience developing and implementing document management policies and procedures
  • Experience with creating training materials
  • Experience delivering training both in-person and remotely desirable
  • Be able to develop and conduct internal training programs
  • Be able to develop and conduct client training
  • Possess very good presentation and group facilitation skills
  • Be able to work independently with little or no supervision
  • Be able to work well in a team
  • Must have good Microsoft Word and PowerPoint skills
  • Experience with Microsoft CRM or other similar tool desirable
  • Experience with Wrike or similar online collaboration tool desirable
  •  Bachelor’s degree in  human resources, human resource administration, communications, or a well-rounded liberal arts education preferred
